Cancellation & Refund Policy

EFFECTIVE DATE: JULY 2, 2026

This Cancellation & Refund Policy explains how cancellations, and the advance payments associated with them, are handled for both one-time projects and Monthly Retainer Packages offered by Aromastar Digital Marketing Agency (“Aromastar”). By making an advance payment, you confirm that you have read, understood, and agreed to this policy.

1. Overview

All services at Aromastar — whether a one-time project (website, logo, SEO setup, ad campaign setup, etc.) or a Monthly Retainer Package — require an advance payment before work begins. This advance reserves your project slot, and is used to begin strategy, planning, resource allocation, and execution immediately. Because of this, the advance payment is treated as committed and non-refundable, as detailed below.

2. Advance Payment — Non-Refundable & Non-Cancelable

Key Policy

  • A minimum 50% advance payment is required before we start any project or service.
  • This advance payment is strictly non-refundable and non-cancelable once paid — including if the client changes their mind, pauses the project, or requests cancellation after payment, whether or not visible work has started.
  • The advance secures our team's time, planning, and resource allocation for your project, which begins immediately upon payment confirmation.

3. Cancellation of One-Time Projects

  • Before advance payment: You may cancel or withdraw a project enquiry at any time free of charge, as no payment has been made.
  • After advance payment: Once the 50% (or agreed) advance has been paid, the project is considered confirmed and started on our end. The advance amount is non-refundable under any circumstances, including client-side cancellation, change of mind, or change in business requirements.
  • If a client wishes to stop a project midway after paying the advance, any work completed till that point will be shared where reasonably possible, but the advance payment will not be refunded, and the remaining balance for work already completed will still be payable.

4. Cancellation of Monthly Retainer Packages

  • Monthly Retainer Packages (Starter, Growth, Premium) carry a minimum commitment period of 3 months from the start date.
  • After the 3-month minimum period, either party may cancel the ongoing retainer by providing 30 days' written notice via email or WhatsApp.
  • Fees paid for the current or any completed service month are non-refundable, as work, ad management, and content for that month has already been planned, scheduled, or executed.
  • Cancelling before completing the 3-month minimum commitment does not entitle the client to a refund of fees already paid; the client remains responsible for any outstanding fees for months already commenced within the minimum period.

5. Circumstances That Are Not Eligible for Refund

In line with the non-refundable advance policy, the following are not eligible for a refund:

  • Change of mind or change in business priorities after the advance has been paid.
  • Delays caused by the client (late content, feedback, or approvals) that extend the project timeline.
  • Advertising/media spend already paid to third-party platforms (Meta, Google, etc.), which is separate from our service fee and non-refundable by us as we do not control those platforms.
  • Dissatisfaction with results such as rankings, leads, or ad performance, where the agreed scope of work has been delivered as per the Terms & Conditions (see “Results Disclaimer”).
  • Third-party issues such as hosting downtime, domain problems, or platform policy changes outside our control.

6. Exceptions — Genuine Payment Errors

The only circumstances under which a refund may be considered are clerical or payment-processing errors, such as an accidental duplicate payment or an incorrect amount charged due to a technical error. Such requests must be raised within 7 days of the transaction, along with valid payment proof, and will be reviewed on a case-by-case basis.

7. Force Majeure

If a project or retainer is delayed or paused due to circumstances beyond either party's reasonable control (e.g. natural disasters, internet/platform outages, government restrictions), Aromastar will work with the client to reasonably extend timelines. Such circumstances do not, by themselves, entitle the client to a refund of amounts already paid.

8. How to Request a Cancellation

To cancel a Monthly Retainer Package after the minimum commitment period, or to raise a genuine payment error under Section 6, please write to us with your project/invoice details:

We aim to acknowledge all cancellation and payment-related requests within 2–3 business days.

9. Changes to This Policy

Aromastar reserves the right to update this Cancellation & Refund Policy at any time. The updated version will be posted on this page with a revised effective date.

10. Immediate cancelation

If the client becomes abusive, threatening or repeatedly fails to cooperate, Aromastar may terminate the project immediately without refund.
